Rule 02

Entry platform & technical partner

PhotOlympic is organized in cooperation with IAAP, a partner providing the platform for participant registration, entry submission, photograph uploads, entry fee payments, and judging.

The official website, photolympic.com, provides information about the competitions, rules, program, and results. Participants are directed through official links to www.theIAAP.com for registration, photograph submission, and payment.

Use of the IAAP platform is also subject to its own terms of use and privacy policy. The PhotOlympic competition rules and these Terms govern participation in the competition itself.

For questions concerning the competition and entries, participants may contact the Organizer at photolympic@gmail.com.

Rule 03

Registration & user accounts

Participants must provide accurate information when registering, use their own identity, and maintain a valid email address.

Participants are responsible for keeping their login credentials secure and must notify the Organizer immediately if they suspect unauthorized use of their account.

Minors may participate only where permitted by the rules of the relevant competition and with the necessary consent of a parent or legal guardian.

Rule 04

Entries & entry fees

Current entry fees, the contents of individual packages, discounts, and payment deadlines are published on the website before entry.

Payment of the entry fee entitles the participant to take part within the scope of the selected package, provided that all other competition requirements are met. Payment does not guarantee qualification, an award, exhibition, or publication of photographs.

Travel, visa, insurance, accommodation, meal, and additional activity expenses are not included in the entry fee unless expressly stated otherwise.

Any bank, payment service, or currency conversion charges are displayed or calculated according to the terms of the selected payment method.

Rule 05

Cancellation & entry fee refunds

The Organizer may cancel the festival due to extraordinary circumstances that prevent it from taking place. Participants will be notified of cancellation no later than 30 days before the festival begins, unless the extraordinary circumstances arise after that deadline, in which case participants will be notified without delay.

In the event of cancellation, participants will receive a refund of the portion of the entry fee corresponding to the part of the program that does not take place. Payments may be transferred to another competition or a replacement program only with the participant’s consent.

Cancellation of the in-person festival does not entitle participants to a refund of entry fees for online qualification competitions that have already taken place.

Entry fee refunds do not cover airfare, other transportation, visas, accommodation, or other services independently booked by the participant with third parties, including non-refundable bookings, except where the Organizer is liable under applicable law.

Participants are advised to consider flexible booking conditions and insurance covering relevant reasons for travel cancellation.

These Terms do not limit any participant rights that cannot be excluded or restricted under applicable law.

Rule 06

Authorship & third-party rights

Participants confirm that they are the authors of the submitted photographs and hold the rights necessary to submit them and permit their use within the scope described in these Terms.

Participants are responsible for obtaining any necessary consents and permissions, including those relating to photographed individuals, copyrighted works depicted in photographs, and photography at particular locations.

At the Organizer’s request, participants must provide the original file or other reasonable evidence of authorship and compliance with the rules.

Rule 07

Use of submitted photographs

Copyright remains with the author.

By submitting photographs, participants grant the Organizer a non-exclusive license, without additional compensation, for:

  • processing entries and judging;
  • display in official results, galleries, and exhibitions;
  • publication in catalogs and the official PhotOlympic monograph;
  • presentation and promotion of PhotOlympic on the website, social media, in the media, and in festival materials;
  • inclusion in the archive of previous editions.

This license covers worldwide publication through the channels listed above. The right to display archived results, catalogs, and previous editions remains in effect after the competition ends.

The Organizer will credit the author alongside the photograph. Technical adjustments to size and format for publication are permitted, provided that the integrity of the photograph is preserved.

This license does not cover the sale of individual photographs, licensing for independent advertising campaigns by partners or sponsors, or use for training AI models. Such uses require the author’s separate consent.

Rule 08

Judging, verification & complaints

The jury evaluates photographs in accordance with the rules of the relevant competition. The jury’s artistic assessment shall not be subject to a request for rejudging solely because a participant disagrees with the result.

Complaints concerning administrative errors, procedural irregularities, or suspected breaches of the rules may be submitted to the Organizer within [number] days of the publication of results.

The Organizer may reject an entry or disqualify a participant for proven breaches of the rules, misrepresentation, copyright infringement, or manipulation of the competition process. The participant will receive notice explaining the reasons and an opportunity to provide relevant evidence.

Rule 09

Technical requirements

Participants are responsible for submitting entries on time, ensuring that their files meet the requirements, and checking confirmation of receipt.

If a submission problem occurs, participants should contact the Organizer as soon as possible, preferably before the deadline, providing a description of the problem and any available supporting evidence.

If a technical failure on the part of the Organizer or the entry platform substantially prevents submissions, the Organizer will, in cooperation with the technical partner, announce an appropriate solution, such as an extension of the deadline or an alternative submission method.

Rule 10
24H Challenge

In-person competitions & the 24H Challenge

Participants must comply with local laws, location access rules, and the privacy rights of others, and must take reasonable care for their own safety and the safety of others while photographing.

Participants traveling to an in-person competition are responsible for obtaining the necessary documents and insurance, unless expressly agreed otherwise.

The 24H Challenge is a separate remote competition with its own results and awards. Using the same themes and competition period as the final does not grant participants finalist status in the main competition.

Rule 11

Program changes

The Organizer may, for justified reasons, change the schedule, location, or format of the program. Participants will be notified of significant changes in a timely manner through the website and by email.

If a change materially affects a paid program, the notification will explain the available options, including any applicable entry fee refund, in accordance with the published policy and applicable law.

Rule 12

Privacy & communication

The collection, use, and storage of personal data are described in the separate Privacy Policy.

The IAAP platform’s privacy policy also applies to the processing of data on that platform.

The Organizer uses contact information to communicate about accounts, entries, payments, results, and event arrangements. Consent to promotional communications is requested separately where required.

Rule 13

Changes to these Terms & dispute resolution

Each entry is governed by the version of these Terms accepted by the participant at the time of entry. Any significant subsequent changes affecting an existing entry will be communicated separately to the participant.

The Organizer and the participant will endeavor to resolve any dispute through direct discussion.

These Terms shall be governed by the laws of the Republic of Serbia, without prejudice to mandatory consumer rights under applicable law.

The Organizer and the participant shall endeavor to resolve any dispute amicably. If an amicable resolution cannot be reached, the court with subject-matter jurisdiction in Novi Sad shall have jurisdiction.
